Managing YouMail Contact Groups

Organize your contacts and assign custom greetings to specific groups.

Overview

YouMail Groups let you organize contacts into categories and assign specific greetings to each group. This feature ensures that callers from the same group hear a consistent, personalized message, making it ideal for family, coworkers, or clients. Group greetings take priority over individual contact greetings, providing a streamlined way to manage your voicemail experience.

How to create and manage contact groups

Web Platform

  1. Log in to YouMail.com

  2. In the left-hand menu, click Groups

  3. Click + Add Group in the top right corner

  4. Enter a name for your new group

  5. Click Add

  6. You'll be redirected to the Groups page showing all your groups

Mobile App (Android)

  1. Open the YouMail app and go to the contacts tab

  2. Tap Groups

  3. Tap the Plus Icon in the right-hand corner

  4. Enter the name of your group

  5. Tap Assign Member to add contacts to the group

  6. Tap What They Hear to choose the greeting

  7. Set greeting priority (contact-specific or group-specific)

  8. Save your changes

iPhone App

  1. Open the YouMail app and go to the contacts tab

  2. Tap Groups

  3. Tap the Plus Icon in the bottom right-hand corner

  4. Enter the name of your group and tap Save

  5. Tap the name of the group created

  6. Tap Assign Member to add contacts to the group

  7. Select contacts by clicking the checkbox to the left of the contacts

  8. Save your changes by clicking the tick in the upper right-hand corner

  9. Tap What They Hear to choose the greeting

  10. Tap "Select from greeting list."

  11. Click the check box to the left ofthe greeting

  12. Click tick in right hand corner

Customize group greetings

  1. Select Groups from the left-hand panel

  2. Choose the group you want to customize

  3. Click the three dots at the top right corner

  4. Select Change Greeting from the dropdown

  5. Choose your preferred greeting from your system greetings list

  6. Click Save

Additional sections

  • Editing contacts – You can edit contacts through the app or online account. Updates from your phone's contact list will sync to YouMail after resyncing.

  • Duplicate contacts – Contacts with the same phone number can cause greeting issues. Remove duplicates to avoid problems.

  • Extra Lines limitation – If a contact calls an Extra Line and has a custom greeting assigned, the custom greeting will not play (this is by design).

  • Cross-platform sync – Changes made on one platform appear on all others within minutes

FAQs

Do group greetings override contact-specific greetings?

Yes – when a contact is in a group, the group greeting takes priority over any individual contact greeting.

Can I add the same contact to multiple groups?

Yes – a contact can be added to multiple groups, but only one group greeting will play based on your settings.

What happens if I have duplicate contacts?

Duplicate contacts (with the same phone number) can cause issues with which greeting plays. Remove duplicates to avoid problems.

Can I manage groups from the mobile app or iPhone?

Yes – all group management features are available across web, mobile app, and iPhone platforms.

How do I know which greeting will play for a contact?

The system prioritizes: group greeting > contact-specific greeting > default greeting.

What if I want to change a contact's group assignment?

Edit the contact's group assignment through the Contacts or Groups menu, and the new greeting will take effect immediately.

Are there any limitations to group management?

The main limitation is that Extra Lines don't play custom greetings for contacts, regardless of group assignments.

How long does it take for changes to sync across platforms?

Changes sync within minutes across all platforms.

Can I use community greetings for groups?

Yes – browse the library of pre-recorded greetings and add them to your account for use with groups.
