Overview

YouMail Smart Greeting is an automatically generated voicemail message that personalizes what callers hear. Smart Greeting uses information about you and your caller to create a friendly, customized greeting. This guide explains how Smart Greeting works, how caller names are identified.

How Smart Greeting works

Smart Greeting automatically builds a voicemail message using your settings and caller information.

For example:

If your caller’s name is John and your name is Mike, the greeting may say:

“Hi John, Mike is currently unavailable. Please leave a message.”

The greeting can include:

  • Caller salutation (optional)

  • Your name or company

  • Your current status


How YouMail identifies caller names

YouMail determines caller names using:

  1. Your saved contacts

  2. A large caller ID directory database

The most accurate way to ensure correct caller names is to:

  • Create a contact with both name and phone number

  • Sync your phone contacts with YouMail

Important: If a caller is not in your contacts, YouMail may use public caller ID data, which can sometimes reflect the phone line owner instead of the person calling.

Tip: Syncing your contacts helps prevent incorrect greetings.


Smart Greeting:

  • Uses a casual format

  • May use your first name, phone number, or “the YouMail subscriber”

  • Allows configuration of:

    • Voice used

    • Salutation (greet by name or not)

    • How you are addressed

    • Status (Unavailable, In a meeting, With a client, etc.)

    • Optional status expiration

You can set a status expiration date and time so it automatically resets.


How to configure Smart Greeting on the web

To enable or configure Smart Greeting from your online account, follow these steps:

  1. Sign in to YouMail.com

  2. Click Greetings from the left-hand menu

  3. Select Greeting Summary

  4. Click Edit Smart Greeting

  5. Configure:

    • Voice

    • Salutation

    • Name format

    • Company name

    • Status

  6. Click Save

Important: Ensure Smart Greeting is set as your Main Greeting or applied to the appropriate line.
