Conference Calling with YouMail!

How to set up and use conference calling from the web portal

Overview

YouMail’s Conference Calling feature allows Professional subscribers to host conference calls using their phone number and YouMail voicemail system. All conference settings are managed through the YouMail web portal.

Participants join by calling your number and pressing 8, or by using the dedicated dial-in number provided in your account.


Important: Before starting a conference call, it’s essential to understand which features are available and where they can be managed.

  • Conference calling is available only to Professional subscribers.

  • All conference settings must be managed on the YouMail website.

  • The app is only used for settings


Access conference calling settings

  1. Go to youmail.com and sign in

  2. Select Settings from the left-hand menu

  3. Click Conference Calling

You will see your conference settings, dial-in number, and configuration options.


Settings:

Summaries and recordings

  • Conferences are recorded

  • Once the option to record a conference call is enabled, the host will be notified, and the attendees upon entering the call.

  • They will be asked to press '*' after being notified that the call will be recorded before entering

  • Recordings and summaries are sent to you by email

  • Participants receive summaries by text


Conference PIN

  • Set a PIN to control access

  • If no PIN is set, anyone who presses 8 can join


Announcements

  • Enable or disable join and leave announcements


How participants join a conference

Participants can join in the following way:

  1. Call your phone number

  2. Wait for your voicemail greeting

  3. Press 8 before the greeting ends

They will be connected to the active conference call.


How hosts join a conference

As the host, you can join your conference in one of these ways:

  • Call your phone number from another phone and press 8

  • Use the dedicated dial-in number shown at the bottom of the Conference Calling page. On your online account at youmail.com, Example: (553) 553-5555

The dial-in number allows you to join without calling your own phone.


Invite participants

You can invite people to your conference by:

  • Sending invitations by text

  • Sending invitations by email

These options are available on the Conference Calling page.


How conference calling works

YouMail automatically adds a conference room to your phone.

  • Participants call your number and press 8

  • Everyone joins the same conference line

  • No PIN is required unless you enable one


Tips for better conference calls

  • Limit calls to 10 participants or fewer

  • Set a PIN for added security

  • Review your settings before each call

  • Use the dial-in number if your phone is unavailable

Can I manage conference calls from the mobile app?

No. All conference settings are managed through the YouMail web portal at youmail.com.


How do I find my conference dial-in number?

Sign in to youmail.com, go to Settings, then Conference Calling. The dial-in number is listed at the bottom of the page.


Do conference calls get recorded?

Yes. Conferences are recorded and sent to you by email with a summary.

Yes. Participants receive text summaries after the call.


How do I prevent unauthorized callers?

Set a conference PIN in the Conference Calling settings.


Do I need to press 8 every time?

Yes. Pressing 8 during your voicemail greeting is required to join the conference.
